Introduction :

A general body of members together with six sub committees governs the MAPMC. Together they take important policy decisions. The most important function of this department is monitoring the various meetings of these managing committees. Communicating with various outside agencies and other activities such as purchase and administrative expenditure, general inward and outward, printing of stationery etc are also the functions of this department. A Deputy Secretary assisted by two Assistant Secretaries heads the administration department.

Process :

The administration department looks after the coordination of the Governing Body Meetings. This department takes care of conducting of the meetings. This department informs all the members of the general body about the meeting schedule. The department prepares the Minutes of the meeting and forwards it to all the members.

Another important function of the administration department is regarding Purchases. The Administration department looks after the purchase of stationery and other items like uniform, furniture etc and its distribution to all the markets and departments. At the year-end, all the markets give their requirement for the subsequent year and the dead stock details. The markets then calculate the past stock .The actual requirement for the subsequent year is then prepared. The budget requirement is then forwarded to the accounts department for preparing yearly budget. A supplementary budget is prepared if any urgent needs arise for some new work. Thereafter, a tender is called for the purchase of items. After the tendering process, the items are purchased from the supplier and distributed to all the markets and head office.

Another section of the administration department deals with the Day Officer's job. The day officer works in three shifts. The main function of the day officer is to handle all the messages that are received after the office timings and before the office starts i.e. before 10.am and after 5.45 pm. The day officer receives the message and takes the necessary action.

Next important function of the administration department is to maintain the Records. A record keeper looks after the records of stationery and all the previous records of MAPMC, which are stored in the record room.

The medical facility is also under the purview of the administration department. A medical officer is stationed at the main office to look after the health aspects of the MAPMC employees and of the market functionaries like Mapadis, Hamals etc. The service provided is at a very nominal charge. In case the need arises, the medical officer also checks the records of employees to verify if the leaves taken were for medical purpose. A dresser and a compounder assist the medical officer.

Public Relation also falls under the purview of the administration department. They assist persons from outside agencies like officials, students & other visitors etc. who come to visit MAPMC. The PR office also monitors the news appearing on the media & gives the information to the concerned department. If need be, the PRO takes the necessary steps and answers or issues the statement to the newspapers.

This department looks after the general inward and outward of MAPMC. The bills of all the departments of MAPMC like electricity bill, telephone bills etc are forwarded to this department which, in turn, forwards it to the accounts department for payment.

MAPMC has its own vehicles. There are approximately thirteen vehicles. The Vehicle Officer maintains the management of these vehicles. There is individual budget for vehicle maintenance and fuel.

All departments forward the weekly working report to this department. This department conducts monthly meetings to monitor the market activities, take the review of things, and discuss the strategy for the subsequent month. The MAPMC Secretary chairs the monthly meetings. The Deputy Secretary of this department and the class I and II officers also attend the meeting.
